How to configure Inventory Settings for Stocktakes
This guide describes the purpose of inventory settings, and how to configure them globally and by place.
Overview
When you perform a stocktake, you may want to add validation constraints to a stocktake. This is helpful to prevent poorly performed stocktakes being completed and allow extra review by management.

Configurable Settings

By default, the inventory validation is switched off. If you switch it on, it will apply to stocktakes that are created after you save the settings. |
| Validation Type |
|
Total validation will approve a stocktake based on the total count versus the total expected count. This is the most common setting, especially for retail applications with a large number of skus. Sku validation will check each sku against its allowed variance. Each sku must be within the allowed variance for the stocktake to be approved. The allowed variance can be found in Places -> Catalogue, and is specific to each place. This allows greater control over the variance of specific skus, e.g. highly valuable skus may have a lower accepted variance. |
| Validation Source |

The validation source specifies what expected counts to use to calculate the variance. The external count can be found in Place -. Catalogue as "Current Count", and is specific to each place. This is typically synced with an external source, e.g. Shopify. The last inventory count uses the counts from the most recent stocktake at the same place. Current stock will expect all items in the Ramp Web Portal at the place to calculate the variance. |
| Allowed Variance | Percentage (0-100%) | The maximum allowed percentage variance allowed for a stocktake. |
| Inventory Frequency | Whole number | The required duration (hours) between each stocktake. This is used for reporting purposes. |

A stocktake will be automatically completed when the validation checks are passed and if this is set to "Auto". If it is set to "Manual" , then Manage Approval is required to complete. |
How to Configure Inventory Settings
If you switch on Enforce Inventory Validation, then it will automatically be applied to all places.

Login to the Ramp Web Portal.

Go to Administration -> System Configuration.
- To view the settings, scroll down to Inventory Settings.
- To edit the settings, click on Update Configuration at the top of the page.
- Once you have finished editing, scroll to the top of the page and click Update.
Make sure that you add manager(s) who are allowed to approve stocktakes for each place.
How to Add a Manager for a Place
Each place can have a list of managers, who are allowed to approve stocktakes. The managers must be existing users in the Ramp Web Portal to be added.

Login to the Ramp Web Portal.

Go to Places -> Places.
- Click View on the place that you want to edit.
- At the top of the page, click Managers.
- To add a manager, click Add, then click Select next to the manager's name, then click Ok.
How to Apply Settings for a Single Place
To apply or override settings for a single place, follow the steps below.

Login to the Ramp Web Portal.

Go to Places -> Places.
- Click View on the place that you want to edit.
- At the top of the page, click Inventory Settings.
- Edit the settings.
- Once you have finished editing, click Save.
