Lightspeed Integration Overview

Integration capabilities, data flow, and system limitations.

The Lightspeed integration syncs your data in Lightspeed so that you can use Ramp's RFID features without any manual update required. It keeps your Outlets, Registers, and Products up to date. 

When you send a Purchase Order or a Stock Transfer in Lightspeed, Locafi picks it up as work for your warehouse team, and reports progress back onto that same order as it's actioned.

When your team finishes a stock count in Locafi, the result is sent back to Lightspeed as a stock correction.

Before you start: This integration connects to Lightspeed X-Series (formerly Vend). If you're still on the legacy Lightspeed Retail (R-Series) platform, this integration does not apply.

Data Flow Behaviour

Lightspeed→ Ramp (Inbound Sync)

Data Synced Description
Outlets + Registers Outlets synced as Places under the root Place. Registers are optionally synced as a child Place to the Outlet they are associated with.

Products

 Standard Products and individual Variant Products synced as SKUs.
Purchase Orders

Open Purchase Orders synced into Locafi for receiving.
Transfers

Open Stock Transfers are synced into Locafi for picking and receiving.
Inventory (stock levels)

Locafi will sync stock levels for selected outlets daily.

Ramp → Lightspeed (Outbound Sync)

Data Synced Description
Inventory (stock levels) After a stocktake is validated and completed with the RFID handheld, any discrepancies in stock levels are sent back to Lightspeed as a stock adjustment.
 Purchase Orders When stock is received using the RFID handheld, the status and line quantities are updated back in Lightspeed.
 Transfers When stock is sent and received using the RFID handheld, the status and line quantities are updated back in Lightspeed.

Integration Limitations

  • One-way data ownership
    • The integration focuses on keeping Lightspeed as the source of truth, and syncing data into Locafi when needed.
  • Fulfillments (customer orders)
    • Fulfillments are not synced into Locafi, so they must be fulfilled manually and not with an RFID handheld.
  • Orders synced in Open state only
    • If a Purchase Order or Stock Transfer is created and moved to the next state before the next sync interval (~5 minutes) it will be missed by Locafi and not synced.
  • Deleting Outlets, Products, and Orders
    • If you delete an outlet, product, or PO/Transfer in Lightspeed, it is not deleted in Locafi.
    • If you want to delete it in Locafi as well, you will need to manually delete the entity from Locafi as well as Lightspeed.

Sync Frequency

Default Intervals

The integration will sync data every 5 minutes.

This is configurable. Please contact Ramp Support to customise the sync frequency.

Inbound Sync: Inventory

Due to the large quantity of data, the data will sync daily.

Outbound Sync: Inventory

When a stocktake is completed in Locafi, it is immediately synced back to Shopify. Depending on the size of the stocktake, it can take up to 15 minutes.
